Insight Education Privacy Policy 



1 Introduction 


1.1 This Privacy Policy outlines Insight Academy (otherwise referred to as IA "we",  "our" or "the Company") practices in collecting information from Users (clients or  enquirers and through online application forms. 


1.2 Personal information may be obtained through our website at www.insight ed.co.uk, our social media channels Facebook, Instagram, LinkedIn, YouTube,  WeChat and Twitter) or some of our third-party service providers (i.e. MailChimp  and Eventbrite). 



2 Definitions: 


2.1 The term “Users” applies to clients, third party partners, mentors/tutors, enquirers  or any such people supplying personal information. 


2.2 “Personal information/data” is any information which may potentially allow  identification through reasonable means. 

2.3 IE will abide by data protection laws, particularly the General Data Protection  Regulation (GDPR): and the ICO, Information Commissioner’s Office. 



3 User Rights: 

3.1 A user may request: 

(a) Confirmation as to whether their personal information and any supplementary  information provided as part of online forms or email correspondence is being  stored by IE. 

(b) A copy of personal information that IE has collected on them in an accessible  machine-readable format. 

(c) Amendments to personal information that is in our control. 

(d) Erasure of personal information. 

(e) To object to IE processing and storing personal information. 

(f) Restrict processing or storage of any or part of personal information. 

(g) To lodge a complaint with a supervisory authority. 


3.2 However, please note that these rights are not absolute and may be subject to our  own legitimate interests and regulatory requirements.

4 Retention: 


We will retain a Users’ personal information for as long as necessary to provide our  services, and in line with our legal obligations, resolve disputes and enforce our policies.  Retention periods will depend on the type of information collected and the purpose for  which it is collected. Some retention limits are set by law and others dependent on  utility for IE purposes. 



5 Record definitions:

 

5.1 Under applicable regulations, we will keep records containing user personal data,  user registration details for our education provision, courses and programmes,  communications and anything else required by Insight Education for its services  and administration. 


5.2 Specifically personal data: 

(a) From IE mentors/tutors will be kept for 5 years after ceasing to participate in IE activities. This includes registration information from processing DBS  certificates. 

(b) Personal data from those who apply for a position unsuccessfully will be subject  to the 5-year policy from registration. 

(c) From clients (parents/guardians or students) participating in IE programmes will  be kept for 10 years after the participant ceases to participate in any IO  activities. 

(d) For marketing purposes will be by consent until requested to stop by the User.  IE will also keep a record of requests to stop sending direct marketing to ensure  a User’s wishes are respected and protected. 

(e) In tutor, mentor or contractor contracts will be retained for five years after the  contract is fulfilled. 


5.3 We may amend or remove incomplete or inaccurate information, at any time and  at our own discretion. 



6 Grounds for data collection:

 

6.1 Personal information is collected by IE for purposes that include the performance  of contractual obligations of IE, use of products and services by clients, delivery  partners and mentors/tutors for our services. This enables IE to fully function as a  business, service provider and contractor, subject to policy and legal compliance. 


6.2 When Users provide personal data when using our website, social media channels  or through other forms of contact to express an interest in IE services, Users  consent to the collection, storage, use, (limited) disclosure and other uses of your data as described in this Policy. This will be used by IE staff and delivery partners to  fulfil contractual obligations. 


6.3 We encourage our Users to carefully read the Privacy Policy and use it to make  informed decisions. 



7 What information do we collect? 



7.1 The first type of information IE collects is “non-identifiable information” pertaining  to a User(s), which may be gathered when browsing our website and social medial  channels. “Non-personal Information is unconnected with the personal identity or  private details of Users such as contact details and residential address etc). Non 

 personal Information may include aggregated usage statistics, organisation names  and technical information transmitted by your device (e.g., the type of browser and  operating system your device uses, language preference, access time, etc.) to  enhance the functionality of our website and social media platforms. We may also  collect information on your activity on our website and social media platforms (e.g.  pages viewed, online browsing, clicks, actions, etc.). 


7.2 The second type of information is “Individually identifiable” information which  identifies an individual. This is collected through website forms, telephone calls,  emails, social media platforms, either electronically or verbally or through publicly  available online sources (i.e. partners’ company sites). They may be expressions of  interest in services as clients, applications to be partners or potential  mentors/tutors. Such information includes: 


(a) Tutor or Mentor Application 

(i) name 

(ii) age/date of birth 

(iii) ethnicity 

(iv) nationality 

(v) home address, email address, phone number and Skype address  (vi) education background (school grades, university/college course or  qualifications)and graduation year 

(vii) involvement in extra-curricular activities including any  teaching/tutoring/mentoring experience, and activities and roles at  university 

(viii) current profession 

(ix) DBS certificates 

(x) PGCE and TEFL qualifications (or any relating to language and teaching  training 

(xi) areas you prefer to provide services for IE 

(xii) consent to be contacted as a supporter of Insight Outreach (IO) charity  work, IE and IO workshops, education events or other opportunities. 

(xiii) CV’s 

(xiv) profiles and photos for marketing purposes – by consent 


(b) Tutor or Mentor Application 

(i) Full name of parent and/or student 

(ii) age/date of birth of student 

(iii) parental home and student address (i.e. school) 

(iv) email address 

(v) phone numbers, Skype or WhatsApp details 

(vi) English level details of participants (IELTS, TOEFL etc) 

(vii) your payment details, including billing addresses and credit card details  when purchasing one of our services. 

(viii) marketing consents (newsletter etc) 



8 What information do we collect? 


We receive your Personal Information from various sources when: 

(i) You voluntarily provide us with your personal details when registering for services  through our website or events on Eventbrite 

(ii) You interact with us on our social media channels, including Facebook, Instagram,  Twitter, LinkedIn and YouTube 

(iii) You correspond with us WhatsApp or WeChat 

(iv) You meet us online through Skype & Zoom or ClassIn 

(v) You register details with third-party partner providers e.g. DBS checking service or  subscribing to IE Newsletter and Blog by Mailchimp 



9 How we share this information: 

9.1 We do not rent, sell or share Users’ information with third parties, except as  described in this Privacy Policy. 


9.2 To fulfil a contract between us and you, when you register interest in one of our  services including: 

(i) verifying your identity; 

(ii) arranging the delivery of our products and services to you; 

(iii) communicating with you about current or new services, and 

(iv) processing your payment details when you purchase a product, service or an  event ticket from us. 

(v) for statistical and analytical purposes, intended to both improve the website  and target specific services to your interests on our social media channels. 


9.3 Where you provide consent, we will: 

(i) share personal data with professionals concerned with the services we  provide to the individual client, including internal and external professionals  (tutors, mentors, consultants and delivery partners); 

(ii) issue our newsletter on a monthly basis to the email provided 


9.4 For legal purposes where required by tax laws, we may store only a name or  company in our accounts submissions which are only privy and accessible to IE  management and operations. 


9.5 Names, addresses, and fees on IE invoices will only be shared internally with staff  and our accountant for legally required accounting purposes (staff are subject to  this policy and our accountant to theirs according to chartered accountancy  regulations). 


9.6 In addition to the uses listed above, we may transfer or disclose Personal Information to our subsidiaries, affiliated companies and professionals, who help us  deliver our services. 


9.7 In addition to the purposes listed in this Privacy Policy, we may share Personal  Information with our trusted third-party providers, who may be located in different  jurisdictions across the world, for any of the following purposes: 

(i) Hosting and operating our site; 

(ii) Providing you with our services; 

(iii) Storing and processing such information on our behalf including DBS check  data; 

(iv) Serving you with advertisements and to assist us in evaluating the success of our advertising campaigns and help us retarget any of our Users; 

(v) Providing you with marketing offers and promotional materials related to our  Site and services via our social media channels; 

(vi) Performing research, technical diagnostics or analytics via social media  channels and website analysis. 

(vii) Communicating with you via email, including providing news of offers that  may be suited to you and our monthly newsletter subscription. 


9.8 We may also disclose information if we have good reason to believe that disclosure  of such information is helpful or reasonably necessary to: 

(i) comply with any applicable law, regulation, legal process or governmental request; 

(ii) enforce our policies (including our Agreement), including investigations of  potential violations thereof; 

(iii) investigate, detect, prevent or take action regarding illegal activities or other wrongdoing, suspected fraud or security issues; 

(iv) to establish or exercise our rights to defend against legal claims; 

(v) prevent harm to the rights, property or safety of us, our Users (refer to child  safety policy), yourself or any third party; or 

(vi) for the purpose of collaborating with law enforcement agencies and/or in  case we find it necessary in order to enforce intellectual property or other  legal rights. 


10 Cookies 


10.1 We and our trusted partners use cookies and other technologies in our related  services, including when Users visit our Site or access our services. 


10.2 A "cookie" is a small piece of information that websites assign to a User’s device  while a User is viewing a website. Cookies are very helpful in allowing Users to  navigate between pages efficiently, enabling automatic activation of certain  features, remembering preferences and making the interaction between you and  our Services quicker and easier. Cookies are also used to help make sure that the advertisements you see are relevant to you and your interests and to compile  statistical data on your use of our Services. 


10.3 IE’s website uses the following types of cookies: 

(i) 'session cookies', which are stored only temporarily during a browsing  session in order to allow normal use of the system and are deleted from your device when the browser is closed; 

(ii) 'persistent cookies', which are read only by the Site, saved on your computer  for a fixed period and are not deleted when the browser is closed. Such  cookies are used where we need to know who you are for repeat visits, for  example to allow us to store your preferences for the next sign-in; 

(iii) 'third-party cookies', which are set by other online services who run content  on the page you are viewing, for example by third-party analytics companies  who monitor and analyse our web access. 


10.4 Cookies do not contain any information that personally identifies you, but Personal  Information that we store about you may be linked, by us, to the information  stored in and obtained from cookies. You may remove the cookies by following the  instructions of your device(browser) preferences; acknowledging that if you choose  to disable cookies, some features of our website may not operate properly and your online experience may be limited. 


10.5 We use a tool which is based on the Snowplow Analytics technology to collect  information about your use of the website. The tool collects information such as  how often Users access the Site, which pages they visit when they do so, etc. The  tool does not collect any Personal Information and is only used by our Site hosting  and operating service provider to improve the Site and services. We also use social  media analytics to target specific advertisements to user groups based on their  browsing preferences. 


11 Use of script libraries (Google Web Fonts): 


11.1 In order to present our contents correctly and make them graphically appealing  across all browsers, we use script libraries and font libraries such as Google Web  Fonts (https://www.google.com/webfonts) on this website. Google Web Fonts are  transferred to your browser's cache to avoid multiple loading. If your browser does not support Google Web Fonts or does not allow access, content will be displayed  in a default font. 


11.2 Calling script libraries or font libraries automatically triggers a connection to the  library operator. In theory, it is possible – but currently also unclear whether and, if  so, for what purposes – that operators of corresponding libraries collect data.

12 Third-party collection of information:

 

12.1 Our policy only addresses the use and disclosure of information we collect from  you. To the extent you disclose your information to other parties or sites throughout the internet, different rules may apply to their use or disclosure of the  information you disclose to them. Accordingly, we encourage you to read the terms  and conditions and privacy policy of each third party that you choose to disclose  information to. 


12.2 This Privacy Policy does not apply to the practices of companies that we do not own  or control, nor to individuals whom we do not employ or manage, including any of  the third parties which we may disclose information to as set out in this Privacy  Policy. 



13 Safeguarding your information:

 

13.1 We take great care in implementing and maintaining the security of the Site and  your information. Only IE Board members and IE core operations team members (managing director, accounts director, business executive, business support staff)  have access to a restricted access Google Drive to prevent any unauthorised use of  your information. We require any third-party service provider that we use to  comply with similar security requirements, in accordance with this Privacy Policy. 


13.2 Although we take reasonable steps to safeguard information, we cannot be  responsible for the acts of those who gain unauthorised access or abuse our Site,  and we make no warranty, express, implied or otherwise, that we will prevent such  access.


 

14 Transfer of data outside UK and European Economic Area (EEA): 


Please note that some of our data recipients may be located outside UK and EEA,  including the USA. Our third-party service providers located outside of the EEA are:  Google, Zoom, Eventbrite, MailChimp and ClassIn. In such cases (apart from ClassIn  based in China) we will transfer your data only to such countries as approved by the  European Commission as providing adequate level of data protection or enter into legal  agreements ensuring an adequate level of data protection. We only use ClassIn with the

consent of clients or for participants based in China. A copy of the relevant mechanism  can be provided for your review on request to our Data Protection Officer at  info@insight-ed.co.uk. 



15 Advertisements:

 

15.1 We may use third party analytics on our website and social media to suggest  adverts to Users on our social media channels and site. This technology uses Users’ information with regards to how they use the website (e.g., by placing third-party  cookies on a User’s web browser) to personalise their browsing experience. 


15.2 You may opt out of many third-party ad networks, including those operated by  members of the Network Advertising Initiative ("NAI") and the Digital Advertising  Alliance ("DAA"). 16 Marketing:

 

16.1 We may use Personal Information such as name, email address, telephone  number, etc., ourselves or by using our third-party subcontractors, to provide  promotional materials concerning our services which we believe may be of interest  to users. 


16.2 Users can deny consent or opt out of existing subscriptions to marketing materials  and any attached email address or other personal data from our marketing distribution lists. 



17 Transactions:

 

We may share information in the event of a corporate transaction (e.g. sale of a substantial  part of our business, merger, consolidation or asset sale). In the event of the above, the  transferee or acquiring company will assume the rights and obligations as described in this  Privacy Policy under the name of Insight Education, its related trading arm Insight Academy  or a new trading name. Where this happens, you will be informed in writing by the acquiring  company. 



18 Minors:

 

We understand the importance of protecting children’s privacy, especially in an online  environment. The website is not designed for or directed at children. Under no  circumstances shall we allow the use of our services by minors without prior consent or authorisation by a parent or legal guardian. We do not knowingly collect Personal  Information from minors. If a parent or guardian becomes aware that his or her child has  provided us with Personal Information without their consent, he or she should contact us at  info@insight-ed.co.uk. Please refer to our Child Protection Policy for further information. 


19 Updates or amendments to this Privacy Policy:

 

We reserve the right to periodically amend or revise the Privacy Policy; material changes will  be effective immediately upon the display of the revised Privacy policy. The last revision will  be reflected in the "Last modified" section. A User’s continued use of the Platform, following  the notification of such amendments on our website, constitutes acknowledgment and  consent of such amendments to the Privacy Policy and agreement to be bound by the terms  of such amendments.
